Meeting roles in Microsoft Teams

Who can share their screen, admit people from the lobby or record the meeting? In Microsoft Teams, it depends on your role: organizer, co-organizer, presenter or attendee. This article explains what each role can do, how to set roles in advance and how to change them during the meeting.

Set roles in advance

  1. Open the meeting in your calendar and select Options (Meeting options).
  2. Under Choose co-organizers, pick colleagues who help run the meeting. Read the co-organizer role.
  3. Under Who can present?, choose Everyone, People in my organization, Specific people or Only organizers and co-organizers.
  4. Select Save.

For large meetings, Specific people is best: only the speakers are presenters, everyone else is an attendee.

Change during the meeting

Open People, hover over the name > More options (...) > Make a presenter or Make an attendee. The change applies to this meeting only.

External presenters

A guest or someone outside your organisation can also be a presenter. Choose them under Specific people (they must be invited) or make them a presenter during the meeting. Only people from your own organisation can be co-organizers.
